Overview
You can add employees to your Wealthsimple group plan via a CSV upload or manually for individuals. The CSV template speeds up onboarding for your employees and enables you to bulk upload employees, saving you time.
Please keep the following distinction in mind:
- Adding an employee creates their profile in your Wealthsimple group plan account.
- Assigning an employee to a plan initiates the email invitation for them to sign up and start participating.
How to use the CSV template to add employees
Upload new employees to your Wealthsimple Business group plan using a CSV file to add employee information in bulk and speed up onboarding. You can add as many or as few employees using the template.
Follow these steps to add multiple employees:
Step 1: Download the template
- Log in to your Wealthsimple profile
- Select the Profile menu
- Select your employer name from the menu
- Select the Employees tab
- Open the Add employees menu
- Select Upload employees
- Download the CSV template, and complete it with employee data
Prepare your CSV file
Use the CSV template and keep the column headers exactly as shown. The template includes 30 fields. Only 6 are required:
- Employee ID
- First Name
- Last Name
- Work email
- Annual salary
- Employment start date
The more fields you complete, the less information employees need to enter during onboarding. The template includes descriptive column headers and a sample data row as a guide.
Step 2: Upload your CSV file
Follow the steps below on the web (not supported in the app):
- Return to the Upload employees screen
- In Step 2, add eligible employees by uploading your file
- Select Upload employees
After you upload
After a successful upload:
- You'll return to the Employees tab where you can review the employee list.
- You can send invitation emails to employees.
- Employees must accept the invitation and complete any missing steps to finish onboarding.
If your upload has errors
If your CSV file has errors, one of the following outcomes will appear in the upload modal.
The file was blocked (format error)
Your file couldn't be read. This usually means columns are missing, the headers don't match the template, or the file is corrupted. No rows were processed.
Steps to resolve the error:
- Download the CSV template file from the modal.
- Transfer your data into it.
- Re-upload your file.
Some employees uploaded, but not all (partial success)
Employees with valid information were added successfully. Employees with errors weren't.
Steps to resolve the error:
- Download the error CSV from the modal.
- The file shows only the failed rows and includes two columns that identify the problem: one naming the field that caused the error, and one describing what went wrong.
- Correct the flagged rows directly in the file and re-upload it.
No employees uploaded (total failure)
Every row in your file contained at least one error and no employees were added.
Steps to resolve the error:
- Download the error CSV from the modal.
- Review the error columns for each row.
- Correct the issues.
- Re-upload the file.
Tips for avoiding common errors
- Dates must be formatted as YYYY-MM-DD
- Dollar amounts must use English format — for example, 1234, 1,234.56, or $1,234.56. French-style formats such as 1 234,56 are not accepted and will return a validation error
- Required fields must be completed: Employee ID, First Name, Last Name, Work email, Annual salary, and Employment start date
- Don't add custom columns — extra columns are not supported
- Don't modify column headers — keep them exactly as they appear in the template
How to manually add an individual employee
Follow these steps to add individual employees:
- Log in to your Wealthsimple profile
- Select the Profile menu
- Select your employer name from the menu
- Select the Employees tab
- Open the Add employees menu
- Select Add an employee
- Complete all required fields
- Select Submit and register
Assign an employee to a plan
You can assign employees individually by editing their plan settings in their profile, or assign multiple employees at once.
Follow these steps to assign multiple employees at once:
- Log in to your Wealthsimple profile
- Select the Profile menu
- Select your employer name from the menu
- Select the Employees tab
- In the left filter options, filter by the Unassigned status
- Select the employees to bulk assign
- Select Bulk actions and choose Assign plan
- Select a plan to assign the employee to
- Select Assign plan to finish
Frequently asked questions
Will my employees be automatically enrolled after I upload the CSV?
No. After you upload the CSV file, you'll review the employee list and send invitations. Employees must accept the invitation to complete onboarding.
What happens if I upload a file with partial employee information?
The system will accept partial information as long as the required fields are completed. However, employees will need to enter any missing information during onboarding, which may take longer. To avoid this, we recommend providing as much accurate information as possible in the initial upload.
Can I include custom fields in the CSV for things like internal employee IDs or departments?
No. Custom fields aren't currently supported. Please don't add extra columns to the template.
How is employee information protected when I upload a CSV file?
The CSV upload feature uses encrypted file transfer and secure processing to protect employee data. The system only retains the minimum necessary information and personal data isn't stored permanently. All data handling complies with our privacy policy and relevant regulation requirements.
